SLP CoPilot · Powered by LearnTek Labs
The paperwork, handled with care.
The judgment, always yours.
A private administrative workspace for speech-language pathologists. Capture information once, reuse it carefully, and get back to the clinical casework that needs your licensed expertise.
A Look Inside the SLP CoPilot Concept
Watch how SLP CoPilot keeps human judgment at the center while handling repetitive documentation friction.
The documentation burden of itinerant casework.
Between sessions, an itinerant SLP re-types the same details into notes, emails, letters, and agency portals. SLP CoPilot prepares review-ready drafts from minimal notes — quietly, privately, and without ever pretending to be the clinician.
Speech-Language Pathologists across all clinical environments — including school districts, BOCES, private practices, pediatric clinics, health facilities, and independent 1099 contractors.
Parents and guardians, students where appropriate, school IEP coordinators, and administrative contacts.
A replacement for clinical judgment, your agency's official systems of record, or your professional licensure responsibilities.
How It Fits Into Your Daily Casework
A clear, disciplined 4-step sequence where the clinician remains in total control.
Guided session notes & attendance

Seven rules the software doesn't get to bend.
The agency portal stays the official system of record.
SLP CoPilot prepares; your agency's system remains authoritative.
No scraping, bypassing or modifying the agency portal.
Export is for manual entry by you. No back doors.
Clinical judgment stays with the SLP.
Final clinical conclusions are always yours to make.
Assistance never invents.
Writing help may not add observations, goals, outcomes or progress you didn't provide.
Nothing leaves without a human yes.
External emails and clinical documents require your review and approval.
Synthetic data first.
Development and testing use made-up data until privacy requirements and agency permissions are confirmed.
Store only what the purpose needs.
Minimal student information, by design.

Data Privacy, FERPA & HIPAA Statement
SLP CoPilot is in development. Everything below describes design intent and planned commitments. It is not a certification, audit result, legal opinion, or current operational guarantee. Software alone cannot make a use lawful; compliance depends on how, where and by whom it is used. Real student or patient records will be used only after safeguards are validated and the required permissions and agreements are in place.
Speech-language pathologists, schools and practices handle sensitive clinical and educational records. SLP CoPilot is being designed so its infrastructure, workflows and security controls aim to meet the standards set by federal and state privacy law.
Educational records & FERPA (34 CFR Part 99)
If SLP CoPilot is used by school districts or educational contractors in the future, it is intended to be operated in a way that supports alignment with the Family Educational Rights and Privacy Act. Whether a given use meets FERPA depends on the district's own policies, annual notification, and agreements.
"School official" alignment
Under 34 CFR § 99.31(a)(1)(i), a contractor may qualify as a school official only if it performs an institutional service the agency would otherwise use its own staff for, is under the agency's direct control regarding use and maintenance of records, and is subject to the use and redisclosure limits of § 99.33. SLP CoPilot is being designed so a district could evaluate it against those criteria; eligibility is a determination made by the district, not by the software.
Direct institutional control
The planned design keeps student records under the authority and direction of the contracting district or therapist, who would decide what is collected, retained, exported and deleted.
Redisclosure limits
Records are intended to be used solely for documentation, attendance and progress-monitoring purposes. The plan prohibits secondary disclosure, commercial advertising, third-party profiling and use for training public machine-learning models.
ASHA Code of Ethics & clinical safeguards (planned)
Our architecture is being designed specifically around the ASHA Code of Ethics (Principle I, Rules O & P) regarding client confidentiality, accurate documentation of skilled services, and the ethical use of digital tools. The following describes planned commitments while SLP CoPilot is in development.
Client-Side PHI/FERPA De-Identification Shield
The planned shield would sanitize student names, dates of birth, student ID numbers, and identifying school details locally inside the clinician’s authenticated web browser before any text processing. Prompts transmitted to the clinical language model would contain only sanitized tokens (e.g., [Student]). Re-identification is intended to occur strictly within the clinician’s authenticated browser session.
Mandatory Human-in-the-Loop Clinical Verification
The planned platform would strictly prohibit autonomous note generation or automated submission. Every note would require active review, factual verification, and an electronic signature lock stamped with the treating clinician’s credentials and state license number (e.g., Martha Bynum, MS, CCC-SLP, Lic #TX-SLP-49201).
Preservation of Clinical Truth (Anti-Hallucination Constraints)
Trial counters, percentage calculations, and cueing hierarchy tracking (Independent, Minimal, Moderate, Maximal) are planned to be computed authoritatively by deterministic software logic. The AI assistant would be constrained by system instructions to never alter, inflate, or fabricate numerical trial data or prompt levels.
Zero Public Model Training & Enterprise Cloud Partitioning
The intended architecture would run all clinical processing under enterprise Google Cloud infrastructure, with a requirement that client data is never retained for processing-provider use, stored for training, or shared with consumer AI models. Cloud database records would be secured via granular Attribute-Based Access Control (ABAC) rules deployed directly on Google Cloud Firestore. These provider and configuration commitments must be validated before real records are processed.
Multi-Clinician & Supervisory Workflows
For future Speech-Language Pathology Assistant (SLPA) and Clinical Fellow (CF-SLP) workflows, notes would require supervisory review and co-signature from the supervising licensed CCC-SLP before agency export or billing lock.
Technical & physical safeguards (planned)
The following controls are part of the intended architecture. They are not yet independently audited and will be validated before any real records are stored.
Encryption in transit
All network communication is planned to be enforced over HTTPS using TLS 1.3 with HTTP Strict Transport Security (HSTS).
Encryption at rest
Application records, audit logs and backups are planned to be encrypted at rest using AES-256.
Tenant & caseload isolation
Database queries are planned to be governed by Row Level Security (RLS) policies designed to prevent cross-tenant record exposure.
Audit trails
Access, clinical note approvals, revisions and export actions are planned to be recorded in tamper-resistant audit logs.
Session protections
Secure, HttpOnly, SameSite session cookies with automatic inactivity timeouts are planned to reduce risk on shared workstations.
Data ownership, retention & deletion
These are intended contractual and product commitments, to be formalized in agreements before production use.
You own your data
Clinicians and institutions are intended to retain full ownership of all student records, session notes and communications entered into the system.
Export & erasure
On contract termination, completion of services, or a formal district deletion request, the plan is to make data exportable in standard formats and then permanently purge it, consistent with applicable retention requirements.
